n8n WhatsApp automation for real estate leads: how it works
Speed wins real estate leads. A buyer who enquires at 10 pm and gets a reply in two minutes is far more likely to answer than one who hears back the next afternoon. Automation tools such as n8n can send that first reply and route the lead to the right person without anyone typing.
The flow, step by step
- Lead arrives: a Meta Lead Ad form, website form or portal email creates a new lead.
- Clean and store: n8n formats the phone number, removes duplicates and adds the lead to your CRM sheet.
- First reply: a WhatsApp message goes out within minutes, using an approved template.
- Qualify: replies are captured. Budget and timeline answers update the score.
- Alert the salesperson: HOT leads trigger a notification with the lead's details.
- Follow-up reminders: leads with no reply get the next message on schedule, then stop.
What you will need
- An n8n account (cloud or self-hosted)
- WhatsApp Business Platform access through a provider (business messaging has its own approval and per-message costs)
- A CRM or Google Sheet
- Meta Lead Ads connected to your account
Things to get right
- Consent and templates: business-initiated WhatsApp messages need approved templates and the lead's permission. Follow WhatsApp's and Meta's policies.
- Human takeover: make it easy for a salesperson to step in when a lead replies with a real question.
- Test with your own number first: run ten fake leads through before using real ones.
- Keep costs visible: list the tool and messaging costs before you scale up.
The Complete package includes an Automation Blueprint with an architecture diagram and 12 setup steps for exactly this flow, written for non-technical teams, plus three ready-to-import n8n workflow files (lead capture with instant reply, daily follow-up reminder, site visit reminder).
